Who it’s for

Useful if you regularly overcommit or are not protecting enough time for rest and business development. Also useful when you are considering taking on a large new project and want to know whether you genuinely have the capacity. Not useful if your work is entirely unpredictable and cannot be planned in advance.

If it works

If you block out planned holiday and rest periods at the start of the year before committing to client work, and set a maximum number of billable days per month and treat it as a real constraint, you will take on less than you have been doing and probably do it better. Most freelancers underestimate how few billable days they actually have once everything non-billable is accounted for.

A capacity planner does not create more time. It makes the limits visible so you can make better decisions about what to agree to.
